This policy explains how we handle personal information collected through www.ecogen.co.in and through our sales and service operations. It is issued in line with the Information Technology Act, 2000, the SPDI Rules, 2011 and the Digital Personal Data Protection Act, 2023.

We collect the details you provide in enquiry forms, calls, WhatsApp messages and emails — name, company, phone number, email address, site location, load requirement and project timeline. During site visits and commissioning we record site photographs, GPS location of the visit, equipment readings and service history. We also collect basic technical data such as browser type, device and pages viewed to keep the website secure and reliable.

Your information is used to respond to enquiries, size the correct DG set, prepare quotations and purchase orders, schedule site surveys and installation, deliver warranty and annual maintenance services, raise invoices, and meet statutory tax and warranty record-keeping obligations. With your consent we may send service reminders and product updates; you can opt out at any time.

We process personal data on the basis of your consent when you submit an enquiry, and on the basis of contract performance and legal obligation once you become a customer. You may withdraw consent for marketing communication at any time without affecting services already contracted.

We do not sell personal data. Information is shared only with OEMs and manufacturers for warranty registration and spares, logistics and installation partners engaged on your project, payment and banking channels, statutory authorities where required by law, and IT service providers who host our systems under confidentiality obligations.

Enquiry records are retained for up to three years from the last interaction. Customer, warranty, service and financial records are retained for the duration of the commercial relationship and for the statutory period required under Indian tax, warranty and company law, after which they are deleted or anonymised.

Access to customer records is restricted to authorised employees on a need-to-know basis and protected by role-based logins on our internal platform. Data in transit is encrypted. While we apply reasonable security practices, no system can be guaranteed completely secure.
